FAQ: What do the different statuses of a package in TRACS mean?

 Problem

I don’t know what the status of my package means in GT-TRACS.

 Solution

The package status in GT-TRACS tells you where the package is in the creation, approval, and response process. Some statuses are automatically set by the system as the package is sent through the GT-TRACS process, while others have to be set manually by the administrator.

You can view the status of a package in any of the following places in GT-TRACS:

  • the Status column in the My Packages grid accessed through your navigation bar

  • the Status column in the Packages grid on a specific faculty member’s record page

  • the Status field in the upper right corner on the Package Info tab of any package

Below are the various statuses that a GT-TRACS package can have and what they mean:

Appointment and Retention Package Statuses

  • Package Creation in Progress - Package has been created but not submitted for approvals yet. Package is still editable by all administrators in the appropriate org. This status is set automatically in the system.

  • Awaiting Approvals - Package is in the process of receiving all necessary approvals. Check the Approvals tab on the package to see exactly what org the package is awaiting approvals from. This status is set automatically in the system.

  • Offer Extended - Package has been completely approved and the offer that was approved has been made to the (potential) faculty member, awaiting their response. This status is set automatically in the system.

  • Accepted - (Potential) faculty member accepted the offer. This status is set manually by the administrator.

  • Declined - (Potential) faculty member declined the offer. This status is set manually by the administrator.

  • Withdrawn - Georgia Tech has withdrawn their offer to the (potential) faculty member. This status is set manually by the administrator.

  • Renegotiate - This status is used when the (potential) faculty member wants to renegotiate the terms of their appointment/retention. Selecting this status will allow changes to be made to the package and force the package to the beginning of the approval process again. All changes made must be reapproved before a new offer can be extended. This status is set manually by the administrator.

Cost Share and Other Package Statuses

  • Package Creation in Progress - Package has been created but not submitted for approvals yet. Package is still editable by all administrators in the appropriate org. This status is set automatically in the system.

  • Awaiting Approvals - Package is in the process of receiving all necessary approvals. Check the Approvals tab on the package to see exactly what org the package is awaiting approvals from. This status is set automatically in the system.

  • Awaiting Decision - Package has been fully approved by all involved orgs and is awaiting the decision from the faculty member. This status is set automatically in the system.

  • Awarded - Package terms have been agreed upon by the faculty member and awarded to them. This status is set manually by the administrator.

  • Declined - Package terms have been declined by the faculty member/sponsoring organization. This status is set manually by the administrator.

  • Withdrawn - Package terms have been withdrawn by Georgia Tech. This status is set manually by the administrator.
