How to Select an External Reviewer/Evaluator to Email

Select specific external reviewers/evaluators from the list of Suggested Reviewers/Suggested Evaluators to request a letter from via email through the PROMOTE system.

To complete the steps in this guide, you will need the external_reviewer_manager role in PROMOTE. If you do not have the roles you need, check out our user roles guide to learn how to request additional access.

In this guide, the term "reviewer" will be used to represent both external reviewers (academia) and external evaluators (research). Distinctions between the two will be made in specific sections of the guide if necessary.

 Instructions

To select an external reviewer to request a letter from, follow these steps.

  1. Log in to PROMOTE (promote.gatech.edu) using your Georgia Tech credentials.

  2. Select the correct process (Academic Promotion & Tenure, Research Faculty Promotion, Academic Non-Tenure Track Faculty, or Tenure on Appointment).

  3. Scroll through the candidate grid for the process you selected to find the candidate’s row and click Manage Reviewers (or Manage Evaluators in the Research Faculty Promotion process) in the rightmost column to navigate to that candidate’s External Reviewer Manager screen.

  4. To select a reviewer, click +Add in that reviewer's row in the Suggested Reviewer grid. This will move the selected reviewer from the Suggested Reviewer grid to the Selected Reviewer grid at the top of the page.

Once you’ve selected a reviewer, you will be able to send them an email through PROMOTE. Any selected reviewers that were suggested multiple times by different sources should be marked as multisource reviewers before emailing.
