How to Add External Reviewer/Evaluator Suggestions

Add possible external reviewer/evaluators to the list of people that could be selected to write an external letter to accompany the candidate’s dossier for their review process at Georgia Tech.
To complete the steps in this guide, you will need the external_reviewer_manager role in PROMOTE. If you do not have the roles you need, check out our user roles guide to learn how to request additional access.
In this guide, the term "reviewer" will be used to represent both external reviewers (academia) and external evaluators (research). Distinctions between the two will be made in specific sections of the guide if necessary.
Instructions
To add a suggested external reviewer that is not part of the candidate’s dossier submission, follow these steps:
Log in to PROMOTE (promote.gatech.edu) using your Georgia Tech credentials.
Select the correct process (Academic Promotion & Tenure, Research Faculty Promotion, Academic Non-Tenure Track Faculty, or Tenure on Appointment).
Scroll through the candidate grid for the process you selected to find the candidate’s row and click Manage Reviewers (or Manage Evaluators in the Research Faculty Promotion process) in the rightmost column to navigate to that candidate’s External Reviewer Manager screen.
Under the Suggested Reviewers section, click the +Add Reviewer (or +Add Evaluator in the Research Faculty Promotion process) on the right side of the screen.
Enter the reviewer's information in the corresponding fields of the pop-up.
Click the Source drop-down list and choose the option that best represents where this suggested reviewer is coming from.
If you are a school chair/unit head/lab director entering in your list of suggested reviewers for this candidate or you are an administrator entering in a chair's/unit head’s/lab director’s list of suggestions on their behalf, select chair.
If you are entering a suggested reviewer on behalf of a committee, select committee.
If you are entering a suggested reviewer that the candidate would like to add after they have submitted their dossier, select candidate by admin.
Fill in the Biosketch, Collaboration, and Known Conflict of Interest? fields with the reviewer’s information as you are able.
8. Click Save.
If you are a chair adding reviewers for an academic candidate, you will see a Show All button on the right side of your screen. Clicking this button allows you to see the suggested reviewers that the candidate submitted with their dossier before you add your own reviewer suggestions. If you do not click this button, the candidate's suggested reviewers will automatically show up in the chart after you have added your three suggestions.
Once all of the external reviewer suggestions are listed in the Suggested Reviewers grid, you will need to select the external reviewers you want to solicit a letter from before you can email the selected reviewers.
